How we use the details you send us, and the rights you have over them.

Who we are

The data controller is Property Architecture Ltd, registered in England and Wales, company no. [[TODO: company no.]], 71–75 Shelton Street, London WC2H 9JQ. We are registered with the Information Commissioner's Office (ICO). For anything in this policy, email hello@propertyarchitecture.com or call 020 7864 7245.

What we collect

When you use one of the quote forms on this website we receive:

  • your name, email address and phone number;
  • the property address or postcode, the council, and the service you need;
  • your project description, preferred contact method and best time to call;
  • any files you attach, such as photographs, existing drawings or a title plan;
  • the page you sent the form from and the time you sent it.

To stop spam we also use your IP address for a short time to limit how many requests one connection can send. We do not store it with your enquiry. If you message us on WhatsApp, call or email, we receive what you send through that channel.

Why we use it, and our lawful basis

We use your details to reply to your enquiry, check the planning constraints on the property and send you a fixed quote. The lawful basis is that you have asked us to take these steps before entering into a contract (UK GDPR Article 6(1)(b)). Keeping a record of enquiries and protecting the form from abuse are in our legitimate interests (Article 6(1)(f)). We do not use your details for marketing, and we do not sell them.

Who processes it for us

  • Resend delivers each form to our inbox by email. We use its EU region (Ireland); Resend may use sub-processors outside the UK under appropriate safeguards.
  • Our hosting provider runs this website on servers in the EU, and Cloudflare protects and speeds up the connection to it.
  • Cloudflare R2 stores the files you attach to a quote form, in a private storage bucket held in the EU.
  • Our email provider stores the messages we receive and send.

Each of them processes data only on our instructions.

How long we keep it

We keep enquiries for up to 24 months after our last contact with you, so we can answer questions about a quote. Files you attach are stored for up to 24 months and then deleted automatically. We open them through private download links that expire; they are never published. If you become a client, project records are kept for as long as our professional obligations and insurance require.

Your rights

You can ask us for a copy of your data, ask us to correct or delete it, ask us to restrict or stop using it, and ask for it in a portable format. Email hello@propertyarchitecture.com; we reply within one month.

If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put things right first.
